Privacy Notice

EverySnap (trading name), operated from the United Kingdom, is the data controller for personal data collected through everysnap.co.uk. Formal company registration details will be added here once the business entity is registered. You can contact us about anything in this notice at hello@everysnap.co.uk.

• Account details (hosts): your name, email address and sign-in credentials.
• Event details: event name, date, type, and any personalisation you add to your QR card.
• Guest uploads: the photos and videos guests add to a gallery, plus the first name they enter.
• Payment information: handled directly by our payment provider — we never see or store your full card details.
• Technical data: IP address, device and browser information, and how you use the site, so we can keep it secure and improve it.

We use personal data to:

• Run your account, host your galleries and deliver the services you buy (performance of our contract with you).
• Take payment and prevent fraud (contract and legitimate interests).
• Keep the service safe, fix problems and understand how it is used (legitimate interests).
• Send you essential service emails, such as receipts and event reminders (contract).
• Meet legal and tax obligations (legal obligation).

We do not sell your personal data, and we do not use your photos or videos for marketing without asking you first in writing.

Guests upload without an account and are identified only by a first name. The host of an event controls their gallery and can delete any upload. If you appear in a photo or video and would like it removed, contact the event host first; if you cannot reach them, email us and we will help.

We share data only with the providers we need to run EverySnap, such as:

• Cloud hosting and database providers that store the site and your content.
• Payment processors, to take payment for plans.
• Email delivery services, to send receipts and service messages.

Each provider only receives what it needs to do its job and is bound by a data processing agreement. Some providers process data outside the UK; where they do, we rely on approved safeguards such as the UK's International Data Transfer Agreement.

Gallery content is kept for the period included in the host's plan and is deleted after the gallery expires. Account data is kept while your account is active and for up to 6 years afterwards where we need it for tax, accounting or legal claims.

Under UK data protection law you can ask us to:

• Give you a copy of your personal data.
• Correct data that is wrong, or delete it.
• Restrict or object to how we use it.
• Provide your data in a portable format.

Email hello@everysnap.co.uk to use any of these rights — it's free and we respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk) if you're unhappy with how we handle your data.

We may update this notice from time to time. The latest version will always be on this page, and if we make a significant change we will let account holders know by email.
